How to Book a Meeting Room

Quick Steps:

  1. Open Outlook Calendar
  2. Click "New Meeting"
  3. Add meeting Subject and Time
  4. In the "Location" or "To"field, type:
  5. Add your attendees
  6. Click "Send"

Check Room Availability

Using Scheduling Assistant:

  1. Create a New Meeting
  2. Click "Scheduling Assistant" tab
  3. Click "Add Rooms"
  4. Search and select Mindspace M72 or Mindspace M75
  5. View availability (green = available, blue = busy)
  6. Select available time slot
  7. Click "Send"

Booking Guidelines

Do:

  • Book in advance
  • Cancel if plans change
  • End meetings on time
  • Leave room tidy

Don't:

  • Double-book rooms
  • Book longer than needed
  • Leave equipment on

Modify or Cancel Booking

To Modify:

  1. Open meeting in your calendar
  2. Click "Edit"
  3. Update details
  4. Click "Send Update"

To Cancel:

  1. Open meeting in your calendar
  2. Click "Cancel Meeting"
  3. Click "Send Cancellation"

Recurring Meetings

  1. Create New Meeting
  2. Add room email address
  3. Click "Recurrence"
  4. Set pattern (daily, weekly, monthly)
  5. Click "OK" and "Send"

Troubleshooting

Room not appearing?

Booking declined?

  • Room already booked for that time
  • Check availability and try different time

No confirmation received?

  • Wait a few minutes for automated response
  • Check your Sent Items folder
