Please be aware that the changes you make are live and reversing those changes is a manual process. DO NOT change anything that you are unsure about. It is safe to add something but ensure you think twice when editing or removing something. 


Go to the Intranet (http://sharepoint.luxurytravelgroup.com) and go to the page you want to edit. 


Editing text 

If you have access to be able to edit a page you will be given the option on the top right corner of the page. Click “Edit”. 

 

You are not in “edit” mode. In here, you can add text or edit what is currently there. In the below example, I will be adding a sentence on the bottom of the HR page. 

Click an empty space and simply start typing. 

 

When you are happy and want to save and see what you have done, click “Save” on the top right where “Edit” used to be. 

 

You will be taken back to the page outside of edit mode and you will be able to see your changes. 

 

NOTE: We have a standard of font size to adhere to. The font is “Body” and the size is “13px”. When you are in “Edit” mode, have a look on the top left and ensure that the font is in line with the standard. 

 

Editing a document library 

Adding a document to a library 

Document libraries are a group of documents that you can bunch together; the HR page for example has 5 of them. One of them is below. 

 

To add a new document to a particular library you can simply do what it says and “drag files here to upload”. Find the document you want to upload in File Explorer and drag it onto the library you want to move it to. 

 

You will then see it in the library you added it to. 

 

The green star next to it signifies that is has been recently added.  

Rename or delete a document 

You can click the three dots next to a document. It will bring up a small window, click the other three dots in that window and you will get a host of options.  

 

Creating links 

Setting up a link to another destination 

The Finance page for example has some links to external websites such as Natwest Business Banking. You can setup links to other sites and documents, amongst other things. 

Go into “Edit” mode and start typing what you want the link to say, then highlight it. 

 

On the top left you will see some options have appeared. Click “Insert” and then the “Link” button. In this example, we will be linking to an external website, but you can also provide a link to somewhere or something else in SharePoint. Click “From Address”. 

 

Enter the Address of the link under “Address”. Seeing as we already typed and highlighted what text we want to display, we do not have to enter anything in the first box. Click OK. 

 

You will now see a new option next to “Insert” which will allow you to customise the link. If it is an external link, make sure that you have it open in a new tab. 

 

Click “Save” on the top left to save your work and then click the link on the page to test out it works. 

Setting up a link to something on the Intranet 

Sometimes you only want to provide a link to a document on the Intranet, but without having a document library on your page for it.  

If the document is not currently on the Intranet, you will need to upload it. Each page (Finance, HR, Sales etc.) has its own documentary repository that can be used for this. In this example we will use the Sales page. 

Go to the Sales page, click the cog on the top right of the page and go to “Site Contents”. 

 

Here you have all the components that make up the Sales page, we are interested in the “Sales” document library (for Finance there will be one called “Finance”, for HR there will be one called “HR” etc.). Click “Sales”. 

 

Put the document in question in the Sales library via the usual drag and drop method. 

 

Go back to the Sales page and “Edit” the page like you normally would, see “Setting up a link to another destination” on how to setup the link; though this time, click “From SharePoint”. Now you will see a File Explorer but for SharePoint, you want to find Sales. Select the document library and you will see the document you uploaded. Select it and click “Insert” on the bottom left. 

 

Make sure the link opens in a new tab and click “Save” on the top right to get out of editing mode. Now you have setup a link of the page the points to a document on SharePoint. 

Giving a picture a link 

Go into “Edit” mode and select a location on the page where you want to add a picture. Click the “Insert” tab, then “Picture”. Choose from where you want to insert the picture from, most likely “From Computer”. 

 

Choose the picture you want and click “OK”. 

 

You will now see the picture on the page. Click it to highlight it and go back to the “Insert” tab. You will choose “From Address” if the URL is an external address. If you are linking to SharePoint, you can choose that option. 

 

Type in the relevant URL and click OK. 

 

Once happy, click “Save” on the top right. 

Removing parts from a page 

Removing web parts 

Go into “Edit” mode and hover over the web part you want to remove from the page. You will see an arrow and check box appear on the right side. 

 

Click the down arrow and select “Delete”. You will be prompted to confirm the deletion, do so if happy. You can use the check box to delete multiple web parts at once.
